Rally Stow Maries First World War Aerodrome - 2nd - 4th June - Places still available

I have arranged an on site meeting on the 4th March with the museum manager and the SE C&CC, so will be able to provide more information following the meeting.
 
We had a planning meeting today, which was very 'successful' and its all going ahead. There are a few changes but nothing of any issue.

We are no longer having a meal on the first night, Monday, but we do have use of the Airmans Mess from 1900 - 2300. The snack bar/cafeteria will be open during that time and will also serve teas and coffees, for which there will be a charge obviously.

You can bring your own alcohol (and i suggest glasses) into the Airmans Mess on both evenings, but there can be no alcohol sales etc.

We can have music playing/karaoke but will need to arrange that ourselves ......???

The number of vans attending is limited to 45 maximum and we are very close to that number.

The access gates to the site will be locked at around dusk, by the local farmer, though emergency access will be available should it be required. I would advise that anyone going out by vehicle should plan to return before 7pm. Its a long walk from the gates to the aerodrome!

There will be an elsan tank and a washing out facility, so please keep the area clean. Grey waste can be allowed to drain out onto the grassed area where we will be parked up, please be considerate at all times.
Rubbish can be placed into the rubbish skip or taken home with you ...

There are lots of freshwater taps available around the buildings, but hoses will be needed.

Dogs must be kept on a leash at all times, there will be a specific dog walking area, and as always, please clean up after your dogs and only allow them to 'toilet' if possible in that area.

Under NO CIRCUMSTANCES is anyone or pets allowed 'airside' which is designated as the area behind the fence, it will be obvious where that is on your arrival. It is adjacent to to the area we will be camping on, the aerodrome is a working aerodrome and there may be flights on the day, though there are no programmed flights known at this time. This is another reason that dogs (or cats) must be on a leash at all times.

No charcoal or disposable barbeques are allowed on site, though gas/electric barbeques are allowed. Perhaps we should have an informal gathering one afternoon/dinner time - dinner time as identified by us northerners is in the middle of that day, NOT tea time when some of you have your own version of dinner time .....?

The museum tours will be on Tuesday starting from 1030 and will last approx one hour. They have offered tours throughout the day with 90 min intervals, so tours at 1030, 1200, 1330 and 1500 - please indicate your preferred time and i will try to ensure you are allocated that time slot, so get in early as they have to show around 75-80 people around.

Videos etc can be taken but we have been asked only to publish them within our own circles/closed social media. The manager stressed that this was a 'pilot' (sorry for the pun) to see if it's viable for them to run further events and he doesn't want to widely advertise to and subsequently disappoint other groups.

THE OTHER IMPORTANT BIT ....

As this is a rally based on a certain number of attendees paying £25 per night, if anyone pays their deposit but then doesnt actually turn up, it means the cost will have to then be spread amongst everyone else. On that basis, i am looking for payment in full from Friday 7th but please before 11th March as I can then pay the deposit, knowing its all sorted before we go away on the 16th !

We have had four people 'drop out' for various reasons, and i am not criticising anyone for doing so, but just a reminder to everyone else, please let me know asap if you cant make it, we are getting close to the minimum numbers to make the event viable, so if you do need to drop out, please let me know so i can cancel the event before i have to pay out the deposit ....

Thanks, received but as of yet there isnt a 1230 tour, its 1200 or 1330 - there may be a 1230 tour depending on numbers they can handle at any one time ..... but thats down to the volunteers who will be showing us around

I have just sent out a gentle reminder to ensure payment in full before the 11th please, we go away next week so I would like to get everything in place before we go away and be able to confirm the booking with the aerodrome.
I have received payment from 12 Funsters out of the 24 requests to attend so far, so well short of what we need for the Rally to go ahead. South Essex C&CC have only taken deposits for 19 places and unless we get 40 in total, confirmed and paid for bookings, then we may have to sadly cancel the Rally .....

I'll be coming straight from the Midlands Air Festival (I hope) so it'll be an intensive aviation trip.
12noon tour if possible please, but if that's full I'm happy to go whenever is available.
Looking forward to it as it's somewhere I've had on my 'list of places to visit' for ages.
